Executive (Procurement)  

Job Purpose

The Senior Procurement Executive is responsible for managing end-to-end procurement activities, ensuring cost-effectiveness, quality, and timely delivery of goods and services. This role also involves handling import and export operations, including customs clearance, documentation, and compliance with local and international trade regulations.

Principle Accountabilities

Procurement & Sourcing:

  • Source, negotiate, and manage suppliers for goods and services in accordance with MESRA policies.
  • Issue purchase orders and monitor delivery timelines to ensure project and operational needs are met.
  • Evaluate supplier performance based on quality, pricing, delivery, and service.
  • Source and procure raw ingredients, packaging materials, and equipment from local and international suppliers.
  • Negotiate pricing, terms, and contracts to achieve cost savings while maintaining quality and delivery timelines.
  • Build and maintain strong vendor relationships and market intelligence.

Import & Export Management:

  • Oversee all import and export documentation including invoices, packing lists, certificates of origin, and shipping instructions.
  • Coordinate with freight forwarders, customs brokers, and logistics providers to ensure timely shipment and delivery.
  • Monitor international shipments and logistics costs to optimize efficiency and ensure product freshness.
  • Track and manage international shipments, ensuring proper Incoterms are applied and adhered to.

Customs Clearance:

  • Ensure all imported/exported goods comply with local & international customs regulations and obtain necessary approvals and permits.
  • Liaise with customs authorities and third-party agents to resolve clearance issues and minimize delays.
  • Stay updated on regulatory changes affecting import duties, tariffs, and import/export documentation.
  • Ensure competitive pricing to optimize procurement costs.
  • Prepare regular procurement reports and shipment tracking updates for management.
Compliance & Risk Management:
  • Ensure adherence to internal procurement policies, international trade laws, and regulatory requirements.
  • Maintain accurate procurement and shipping records for audit and reporting purposes.
  • Proactively identify risks in supply chain operations and implement mitigation plans.

Cost Management & Reporting:

  • Support budget planning and cost control initiatives.
  • Analyze market trends and supplier pricing to optimize procurement costs.
  • Prepare regular procurement reports and shipment tracking updates for management.

Inventory & Supplier Management:

  • Work closely with warehouse and production teams to maintain optimal stock levels without overstocking.
  • Accurate and careful forecasting of stock replenishment to avoid out-of-stock OR oversupply of material that might cause wastages OR high stock holding.
  • Identify and qualify new suppliers for key F&B items while maintaining approved vendor lists.
  • Drive continuous improvement in procurement processes and supplier collaboration.

Additional Responsibilities:

  • Perform any other duties or tasks as assigned by management or immediate superior from time to time.

Education & Experience:

  • Bachelor’s Degree in Supply Chain Management, Business Administration, Logistics, or related field.
  • Minimum 5 years’ experience in procurement within the F&B or FMCG sector.
  • Strong background in handling import/export operations and customs clearance for food products.
  • Experience working with food ingredients, packaging materials, and supplier quality assurance.
  • Great expansive network of vendors supplying fresh produce and raw materials.
  • Hands-on experience with procurement systems (e.g., SAP, Oracle) and trade compliance tools.
  • Familiarity with food regulatory requirements (HACCP, Halal, FSSC, SIRIM, etc.).
  • Strong negotiation and vendor management skills.
  • Detail-oriented with a proactive problem-solving attitude.
  • In-depth understanding of import/export procedures, Incoterms, and customs regulations.
  • Excellent organizational and multitasking abilities.
  • Strong communication skills (verbal and written) in English and Bahasa.
